WHAT WE DO

What Is A DMC, and Why Use One?

A DMC, or Destination Management Company, is your operational partner in country. We hold the vehicles, the guide roster, the lodge contracts and the local knowledge, so you can sell East Africa without building an operation here yourself.

We work on confidential net rates, never approach your clients directly and can white label documentation under your own brand.

WHY WORK WITH US

What Sola Handles For You

Confidential Net Rates

Commissionable pricing with clear margins, updated seasonally.

24 Hour Quotes

Itineraries and costings returned within one working day, most within a few hours.

Licensed and Insured

TRA registered, fully insured vehicles and vetted accommodation partners.

White Label Ready

Documentation, itineraries and vouchers issued under your brand if you prefer.

HOW IT WORKS

Working With Us, Step By Step

1. You send the brief. Dates, group size, budget bracket, interests and any fixed points such as a Kilimanjaro climb or a gorilla permit. A single email or the form on this page is enough.

2. We reply within 24 hours. Either with a full itinerary and net rates, or with clarifying questions where the brief leaves room for interpretation. We do not sit on enquiries.

3. You mark it up and present it. Proposals arrive unbranded or white labelled to your specification, in your format, with your margin already applied if you tell us the figure.

4. We hold the space. Provisional bookings on lodges and permits are held while your client decides, at no cost, within the supplier’s own release period.

5. We operate on the ground. Vehicles, guides, park fees, permits, transfers and lodge payments are all handled by us. Your client deals with one company and it looks like yours.

6. You get the debrief. A short post trip report on how the itinerary ran, what worked and what we would change, so the next quote is better than the last.

COMMISSION AND RATES

Our Trade Rate Structure

We work on confidential net rates rather than published prices with a commission deducted. You receive the cost, you set the sell price, and your margin is yours to decide and to keep private.

Standard net rates apply from your first booking with no minimum volume and no sign up fee.

Volume tiers improve those rates as annual bookings build. Tiers are reviewed each year against actual travelled passengers rather than enquiries, and once you move up a tier you stay there for the following twelve months regardless of how the year runs.

Series and group departures are quoted separately, with better rates for fixed departure blocks and allocations held under contract.

Agent rates for personal travel are available for your own familiarisation trips, at cost plus a nominal handling charge.

Rate sheets are issued on partnership approval and refreshed annually in line with park fee changes, which in East Africa is usually July.

WHAT YOU GET

Included In Every Partnership

A dedicated safari planner. One named person who knows your account, your clients and your preferences, rather than a shared inbox.

Fully itemised proposals. Every quote breaks out accommodation, park and conservation fees, permits, vehicle and guide, transfers and any activity charges, so you can see exactly what a change costs before you make it.

Unbranded or white labelled documents. Itineraries, quotes and final travel documents formatted to your specification and carrying your logo where you want it.

24 hour emergency line. A number your clients can call while travelling, staffed by our Nairobi team, not an answering service.

Supplier relationships. Direct contracts with lodges and camps across the region, which is what makes availability at short notice possible.

Permit handling. Gorilla and chimpanzee permits secured and paid on your behalf, including the deposit exposure that comes with holding them.

WHO WE WORK WITH

Agencies, Operators And Planners

Retail travel agencies. Selling East Africa occasionally and needing a ground handler who will not embarrass you in front of a client.

Tour operators. Running your own brochures and brands, needing reliable ground operations and net rates you can build a product on.

Destination management companies in other regions, sending clients into East Africa and wanting a counterpart who works to the same standards.

Incentive and MICE planners. Corporate groups, conference add ons and reward travel, where logistics and timing matter more than anything else.

Online travel agencies. Needing a supplier who can confirm quickly and hold rates through a booking window.

Independent travel designers. Working solo or in small teams, where a dedicated planner on our side effectively becomes part of yours.

We are equally happy with a single honeymoon couple and a hundred pax series, and we quote both with the same care.

DESTINATIONS WE COVER

Where We Operate On The Ground

Kenya. Our home ground. The Masai Mara, Amboseli, Samburu, Tsavo, Lake Nakuru, Laikipia and the Diani and Watamu coast, in private and group safari vehicles with employed guides.

Tanzania. The northern circuit through Tarangire, Ngorongoro and the Serengeti, plus Kilimanjaro climbs and Zanzibar extensions.

Uganda. Gorilla trekking in Bwindi and Mgahinga, chimpanzees in Kibale, and the western circuit through Queen Elizabeth and Murchison Falls.

Rwanda. Volcanoes gorilla permits, Nyungwe, Akagera and Lake Kivu.

Cross border. Kenya to Tanzania via Isebania and Namanga, and Rwanda to Uganda via Cyanika and Katuna, with the border formalities and vehicle handover handled by us rather than left to your client at a post.

RESPONSE TIMES

Our Service Commitments

New enquiries. A full itinerary and quote within 24 hours on working days. If a brief is complex enough to need longer, you will hear from us inside that window with a time we will deliver.

Amendments. Changes to a live quote turned around the same working day.

Availability checks. Lodge and camp availability confirmed within four hours during Nairobi office hours.

Permit requests. Gorilla and chimpanzee permit availability checked and, where you instruct, secured the same day. In peak season permits move quickly and speed matters more than anything else.

Confirmed bookings. Vouchers and final documents issued no later than fourteen days before travel, or immediately for bookings made inside that window.

While travelling. The emergency line is answered 24 hours a day by our own team.

These are commitments rather than aspirations. If we miss one, we will tell you why.

GROUND OPERATIONS

Vehicles, Guides And Logistics

The fleet. Toyota Land Cruisers configured for game viewing, with pop up roofs, charging points, cool boxes, reference books and binoculars. Vehicles are serviced on a fixed schedule rather than on failure, and every one carries a full recovery kit and a spare.

Guides. Employed rather than freelance, KPSGA bronze level or above, and first aid certified. They stay with your clients for the whole itinerary rather than changing at each park, which is the single biggest driver of trip satisfaction in our experience.

Airport handling. Meet and greet at Jomo Kenyatta, Kilimanjaro, Entebbe and Kigali, with a named representative and a live flight watch so a delayed arrival does not mean a missed transfer.

Domestic flights. Booked and ticketed by us across the regional carriers, including the light aircraft circuits into the Mara, Serengeti and Bwindi.

Communications. Vehicles carry a phone and, on remote routes, a satellite device.

Full fleet detail is on our safari vehicles page.

SAFETY AND COMPLIANCE

Licensing, Insurance And Duty Of Care

Licensing. Licensed by the Tourism Regulatory Authority (TRA) of Kenya. Copies of our licence are available on request for your own due diligence file.

Insurance. Full public liability and passenger liability cover, with certificates issued to partners annually and on demand.

Vehicle standards. Seat belts on every seat, fire extinguisher and first aid kit in every vehicle, and drivers assessed on defensive driving rather than only licensed.

Evacuation. AMREF Flying Doctors cover can be arranged for your clients as an add on, and we will tell you when we think an itinerary makes it advisable.

Client insurance. We require your clients to carry travel insurance including medical evacuation, and for Kilimanjaro climbs cover to 6,000 metres.

Incident reporting. Any incident on the ground is reported to you in writing within 24 hours, whatever the outcome.

MARKETING SUPPORT

Content, Imagery And Co-Branding

Photography. Access to our image library for your website, brochures and social channels, licensed for your use at no charge on itineraries you sell.

Itinerary copy. Written descriptions you can adapt into your own brochure voice, rather than raw supplier text.

Co-branded documents. Travel documents, packing lists and pre departure information carrying your identity.

Familiarisation trips. Agent rates for your own staff travel, and where volume justifies it, hosted fam trips for your team.

Training. Product briefings for your consultants, delivered online or in person, covering seasons, permits and the questions clients actually ask.

Destination updates. Notification when park fees change, permit prices move or a road or lodge closes, so your quotes stay accurate.

PAYMENT TERMS

Booking, Deposits And Cancellations

Payment methods. Bank transfer in US dollars, with card payment available on request subject to the processing fee.

Credit terms. Available to established partners after a track record of settled bookings, agreed case by case.

KEY QUESTIONS

Trade Partnership, Key Questions

No. Standard net rates apply from your first booking with no minimum volume and no sign up fee. Volume tiers improve those rates as annual travelled passengers build, and once you move up a tier you hold it for the following twelve months regardless of how the year runs.

Within 24 hours on working days for a new enquiry, and the same working day for amendments to a live quote. A four country itinerary involving permits and internal flights usually takes 24 to 48 hours to build properly, and we would rather take the extra day than send you something that falls apart at the second question. Either way you will hear from us inside the first 24 hours with a delivery time.

Yes, completely. Itineraries, quotes, vouchers and pre departure material can carry your branding with no reference to us at all, formatted to your specification. Our guides will introduce themselves as your ground team where you ask them to.

We do sell direct, and we keep the two entirely separate. We will never approach a client you have introduced, and any enquiry that reaches us carrying your reference is routed straight back to you.

That is your call. Some partners keep all client contact themselves and pass instructions through. Others put the client on the phone to our planner. Both work, and we follow whichever model you set.

Yes, and we quote them without the surcharge shock that catches a lot of agents out. Single supplements are shown separately from the outset so there is no unpleasant discovery when your client asks for the breakdown.

Kenya, Tanzania, Uganda and Rwanda, including cross border transfers via Isebania, Namanga, Cyanika and Katuna with the formalities and vehicle handover handled by us rather than left to your client at a border post.

Thirty per cent deposit within seven days of booking and the balance sixty days before travel. Gorilla and chimpanzee permits are invoiced in full at purchase and are non refundable from the moment they are issued. Credit terms are available to established partners case by case.
